1.3 Our service provides end-to-end employee relocation and immigration support to companies and their assignees. We go to the best possible extent to protect your data and keep it private and secure. Data we collect is used for the purpose of providing the best possible relocation experience and to improve our services.

Given the cross-border nature of our relocation and immigration services, transfers to multiple non-EEA countries are likely. Where we transfer your personal data outside the EEA, we ensure that such transfers are subject to appropriate safeguards, such as: (i) transfers to countries that the European Commission has determined provide an adequate level of data protection; or (ii) Standard Contractual Clauses (SCCs) approved by the European Commission. 8.3 Where Standard Contractual Clauses are used, we implement any necessary technical, organisational, or contractual supplementary measures to ensure that personal data transferred outside the EEA has the same level of protection as within the EU/EEA.
9. Data security
9.1 We take appropriate technical, physical, electronic, and procedural measures to protect your personal data from loss, destruction, unauthorised access, disclosure, or other misuse, in compliance with applicable legal requirements. We limit access to personal data to those authorised employees and service providers who need to know the information in the course of their duties. They will only process your personal data based on our instructions and are subject to a duty of confidentiality. We regularly test our systems to ensure they remain secure.
9.2 Personal data is stored in an encrypted database. Data is always encrypted at rest. Our databases are not directly accessible from the public internet and can only be reached via privileged application servers. Our application servers, database servers, and other infrastructure are located in a highly secured environment to prevent direct access from the outside world.
9.3 Although we make every effort to store your data in a secure operating environment, no data transmission or storage is 100% risk free. You provide your personal data at your own risk and we cannot guarantee the absolute security of your data. In the event of a security breach that endangers your privacy or personal data, we will inform you and the relevant supervisory authorities as required by law. We may also temporarily shut down services to protect personal data where necessary.
9.4 In case of a personal data breach, we will notify both the relevant supervisory authority and affected individuals where required by applicable law.
10. Data retention
10.1 Different categories of personal data are retained for different periods depending on the purpose for which they were collected and applicable legal requirements. We retain your personal data only for as long as necessary to fulfil the purposes for which it was collected. Indicative retention periods are as follows:

Relocation case files and immigration documents: depending on the material for up to six (6) years from closure of the case, to comply with applicable immigration and employment law (including the Finnish Aliens Act (ulkomaalaislaki), which requires retention of foreign employee records for two (2) years from the end of the employment relationship) and the Finnish Accounting Act (kirjanpitolaki), which requires retention of accounting vouchers and related correspondence for a minimum of six (6) years and up to ten (10) years;

Following termination of your employer's agreement with us, we will delete or anonymise your personal data within two (2) years from the date of termination, in line with the limitation period for wage claims under Finnish law, subject to longer retention periods required by applicable law. When your data is no longer needed, we will securely delete or anonymise it.

13. Children's data
13.1 Our services are not generally intended for children under the age of 16. We do not knowingly collect personal data from children under 16, except where such data is provided to us by a parent, legal guardian, or the Client in connection with our employee relocation and immigration services for accompanying family members of an assignee. In such cases, we process the child's personal data solely for the purposes of providing the relevant relocation and immigration services, and only with the consent of the child's parent or legal guardian. If you believe we have inadvertently collected data from a child under 16 outside of the circumstances described above, please contact us immediately at privacy@withelva.com. Upon notification, we will take prompt steps to delete such data from our records.

16. Do you have to provide your personal data?
